1. Purpose of This Policy
EzyTCM is a practice management platform operated by EZY TCM Pty Ltd (“EzyTCM”, “we”, “us”, or “our”).
This Refund & Cancellation Policy explains how subscription billing, user adjustments, cancellations, and refunds are managed for the EzyTCM platform.
This policy should be read together with our Terms of Use.
2. Subscription Plans and Billing
Access to the EzyTCM platform is provided on a subscription basis.
Subscription plans may include Student, Individual, and Team plans, as described on the EzyTCM pricing page.
Subscription fees:
- Are charged in advance on a monthly or annual basis
- Automatically renew at the end of each billing cycle unless cancelled
- Are inclusive of GST where applicable
By subscribing, you authorise EzyTCM to charge the applicable subscription fees to your selected payment method.
It is your responsibility to cancel your subscription prior to the renewal date to avoid the next billing charge.
3. Free Trial
EzyTCM may offer a free trial period (currently 30 days).
- No subscription fees are charged during the trial period
- You may cancel at any time during the trial
- If not cancelled before the trial ends, a paid subscription will begin automatically
No refunds apply to free trial periods, as no payment is collected during this time.
4. Cancellation of Subscription
You may cancel your subscription at any time through your account settings or by contacting support.
- Cancellation will stop future billing
- Access will continue until the end of the current billing period
- No partial or prorated refunds are provided for unused portions of a billing cycle
Cancellation does not entitle you to a refund for any fees already paid for the current billing period.
5. Annual Subscriptions
Annual subscriptions are billed in advance for the full annual term.
Annual subscription fees are generally non-refundable, except where required by applicable law.
If an annual subscription is cancelled:
- The subscription will remain active until the end of the prepaid annual term
- The subscription will not renew at the end of that term
- No refund will be provided for any unused portion of the annual subscription
6. Team Plans and User Adjustments
Team subscription pricing is based on the number of authorised users (“seats”) assigned to the account.
- The first user is charged at the base Team rate
- Additional users are charged at the applicable per-user rate as published on the pricing page
- Team plans are subject to user limits as specified on the pricing page
Adding Users
When additional users are added during an active billing cycle:
- Access for the new user(s) will be enabled immediately
- Additional charges will be calculated on a prorated basis for the remainder of the current billing period
- The prorated amount will be charged at the time the user(s) are added
Removing Users
When users are removed from a Team plan:
- The number of active seats will be reduced
- No refunds or credits are provided for removed users during the current billing period
- Pricing adjustments will take effect from the next billing cycle
7. Failed Payments and Suspension
If a payment fails or is declined:
- EzyTCM may attempt to reprocess the payment
- Access to the platform may be suspended if payment remains outstanding
- Continued non-payment may result in termination of the account
Termination for non-payment does not remove outstanding payment obligations.
8. Refunds Required by Law
Nothing in this policy excludes, restricts, or modifies any rights you may have under the Australian Consumer Law (ACL).
Refunds may be provided where required by law.
9. Effect of Cancellation on Data
Upon cancellation or termination:
- Access to the platform will cease at the end of the applicable billing period
- Data retention and deletion will be handled in accordance with our Data Retention & Deletion Policy
10. Changes to Pricing
EzyTCM may update subscription pricing from time to time.
- Pricing changes will be notified in advance
- Changes will apply prospectively and will not affect the current billing cycle
- Existing subscribers will not be charged new rates without prior notice
