Subscription & Billing Policy

1. Subscription Plans

EzyTCM offers three subscription plans:

1.1 Student Plan

  • Available on monthly billing only
  • Limited to one (1) user
  • Once upgraded, the plan cannot be downgraded back to Student

Eligibility Requirements

The Student Plan is strictly available to currently enrolled students.

Users must provide accurate and valid student information, including but not limited to:

  • Educational institution name
  • Field of study
  • Student identification number
  • Any additional verification documents requested by EzyTCM

EzyTCM reserves the right to verify eligibility at any time.

If a user is found to be ineligible or has provided false information, EzyTCM reserves the right to:

  • Revoke Student Plan eligibility
  • Require upgrade to an appropriate plan
  • Charge the applicable price difference

1.2 Individual Plan

  • Available on monthly billing only
  • Limited to one (1) user

1.3 Team Plan

  • Available on monthly billing only
  • Base subscription includes one (1) user
  • Additional users require additional paid seats
  • Each active user must correspond to one paid seat

EzyTCM reserves the right to audit usage and charge for unpaid seats if discrepancies are identified.

2. Billing Cycle

2.1 Monthly Billing

  • Subscription fees are charged monthly
  • The date of the first successful payment becomes the billing date
  • Charges recur automatically on the same date each month

3. Billing Date Rules

The billing date is determined by the date of the first successful payment.

The billing date does not change in the following situations:

  • Plan upgrades
  • Plan downgrades
  • Adding or removing Team users

4. Upgrades (Lower Plan to Higher Plan)

Upgrades include:

  • Student → Individual
  • Individual → Team
  • Adding users under the Team plan

4.1 Monthly Upgrades

  • Upgrade takes effect immediately
  • Price difference is calculated on a pro-rata basis for the remaining billing period
  • The difference is charged immediately
  • Billing date remains unchanged

5. Downgrades (Higher Plan to Lower Plan)

Downgrades include:

  • Team → Individual
  • Reducing the number of seats under Team

5.1 Monthly Downgrades

  • Downgrades do not take effect immediately
  • Changes take effect at the next billing date
  • Current subscription remains active until the end of the billing period
  • No refunds are provided
  • Billing date remains unchanged

6. Team Seat Management

6.1 Adding Users

  • Takes effect immediately
  • Charged pro-rata for the remainder of the billing period
  • Billing date remains unchanged

6.2 Reducing Users

  • Seat reduction is locked for the current billing period
  • Takes effect at the next billing cycle
  • No refunds are provided

7. Cancellation

7.1 Monthly Subscriptions

  • May be cancelled at any time
  • Service continues until the end of the current billing period
  • No refunds are provided

8. Failed Payments

  • The system will automatically retry failed payments
  • Multiple failed attempts may result in account suspension
  • Access to the platform may be restricted
  • Long-term non-payment accounts may be suspended or archived following reasonable notice

Data handling will be governed by the Data Retention & Deletion Policy.

9. Price Changes

EzyTCM reserves the right to adjust subscription pricing with reasonable prior notice.

Price changes:

  • Apply to new subscriptions immediately
  • Apply to existing subscriptions at the next billing cycle

Continued use of the service after the effective date constitutes acceptance of the revised pricing.

10. Misuse and Abuse

If a user:

  • Attempts to avoid seat-based charges
  • Shares accounts
  • Frequently switches plans to avoid fees
  • Exceeds subscription limitations

EzyTCM reserves the right to:

  • Enforce plan upgrades
  • Charge outstanding fees
  • Restrict features
  • Suspend or terminate accounts

11. Billing Authority

  • System records serve as the final billing reference
  • EzyTCM reserves the right to correct billing errors
  • Undercharged amounts may be recovered

12. Consumer Law

Nothing in this policy excludes, restricts, or modifies any rights granted under the Australian Consumer Law.
